Assignment Reminders

Team leaders can configure WorshipPlanning.com to automatically send reminders of assignments to team members.  The message will only be sent to team members scheduled for the specific service, and will contain details of their assignment (the role, date, time, and location) as well as a customized message by the team leader.   After reminders are sent, WorshipPlanning.com will (optionally) send the team leaders a reminder summary email, listing the names of the people that were sent a reminder.

To configure Assignment Reminders for your team:

  1. Login in and navigate to your Home page
  2. Click on the desired team in the My Teams panel
  3. Click the Assignment Reminder tab
  4. Use the "Edit These Settings" button on the left to modify the settings

Is there an option to set what time of day the Assignment Reminders are sent out?

Chad,

That is a great question.  We are working on a feature that will send reminders at approximately the same time of day as the service, the defined number of days prior to the service.  We expect this feature to roll out in the next few weeks.

Can I "Pencil In" people, NOT send them the notification to Accept/Decline, but send automatic reminders to everyone who is penciled in?  These are people who are committed to serve every other week and don't need an Accept/Decline e-mail, just a reminder that it's their week to show up.

Hi Nancy,

Reminders can't be sent to people that are just penciled in.  However, you can manually change a person's assignment status to "accepted" which won't send them an initial notification email but will include them in the reminder notification (if their team is configured for reminders to be sent out).  Make sense?
