Managing Communication Settings

There are two ways SMS text notifications can be configured for users.

Helpers/Planners Configure For Self

WorshipPlanning.com allows users to add SMS Text numbers and secondary email addresses to their account for the purposes of receiving notifications sent from WorshipPlanning.com.  To do so:

  1. Login in to WP and hover on the "account" link in the upper right area of the page, then click "My Profile"
  2. Click the Communication Settings tab
  3. Click "Add a method of communication" and fill in the form with the appropriate information.

You will receive a confirmation message that contains a 4-5 digit code.  Once that code is entered back into WP, you will be able to start receiving notifications via that channel.  Be sure to use the checkboxes to specify which types of notifications you'd like sent to that new channel.  It is important to note that ALL types of notifications will ALWAYS be sent to the primary email address.

If you wish to stop communications via any of your secondary channels, it's recommended that you simply return to this "Communication Settings" page and adjust the checkboxes or remove the secondary channels completely.  However, you can also stop all text from WP by replying to a WP text message with the single word STOP.  This will prevent text message from WP to your number, regardless of your communication settings.  If you have done this, the only way to re-enable text messaging from WP is to reply to any WP text message with the word START.

 

Planners Configure For Others

If you are a planner with security privileges that allow you to manage users, you can enable text notifications for users you can manage.  Here's how:

  1. Log in to WP and navigate to "People >> People" menu
  2. Click the "edit" icon for the person to whom you'd like to add the text notifications
  3. Find the phone number (or add it if it's not already there) and clicked the checkbox to the right of the field (next to the small mobile phone icon).
  4. You'll be promoted to select the country for that persons mobile number.

Once done with these steps, notifications will be turned on for that person (for that number).  No verification code will be sent, nor will the person get any kind of message that their number has been configured to receive text notifications.  However, if the person wishes to stop notifications, they can do so in their WP account, or they can simply reply to a WP text with "STOP".

    Hey Tom, we are playing around with the 'text' notifications, and when we get a text, my iphone simply goes to the mobile site. And we cannot find the relevant message... not quite sure how this is supposed to work... following the steps... responding with 'read'. The next text to me has the worshipplanning.com link. That's it...  Either we've set it up incorrectly, or this is feature needs some major tweaking...

    Also, we are trying to get notifications sent to a Facebook user - using the FB email address that the person's account issues them. But the confirmation email never arrives at the Facebook Message centre, nor at my other linked email account... any help there?

    These would both be highly useful features, since we have many young users who rarely check email, but are hard wired to their FB accounts and texts.

    Johnny, did you ever get the FB email worked out?  I'm about to do the same thing but don't want to go down that road if its not working.

    Not yet. Tom said their team was working on solution. Perhaps he can give us an update... sure would be useful if emails to team members became Facebook messages... give people the option of how they'd like to be communicated to. An entire generation ignores email, as they mostly only know to do it online, which is cumbersome... too much hassle. FB is on all their phones... I know... email is too, but they just don't check it, nor have 'push' notifications on. So we wind up chasing some of them down weekly.

    Victoria and Johnny, I am hopeful we can get this resolved in the coming weeks.  I am sorry for the delay.  Facebook keeps us on our toes with changes to the way they do things.

    Has this issue been resolved yet?  Also, as a Planner is there a way for me to select text messaging as the main option for communication rather than email when I initially set up a new user?  Thanks, Tawana

    An additional comment on my earlier post.  I have several older members of my team who are just now becoming technologically savvy.  They do not have nor do they want email.  They are mastering texting and find it to be the best and simplest form of communication. They are vehemently opposed to Facebook as well.  I am unable to find an option for them to receive notifications by text since there is not a login for them.  Perhaps I have just overlooked and missed something.  Any help would be appreciated.  Thanks again, Tawana

    How do I unmark a checked box in the 'communications settings'? I am unable to uncheck any of the boxes.

    I cannot get the system to send me a confirmation code to add texting as a communication method.

    Hi Missy,

    I'm sorry to hear you're having trouble. I tested the feature out by loggin into under your account, and was able to add my cell number. Can you tell me what exactly is happening? Are you getting an errror message at any point?

    I could add the mobile number but the system never sent me the pin number to confirm.

    We have helpers who don't even use email, which makes this very complicated. It would help if Admins could configure users for SMS without having to add an email to their account.

    Hi I am the administrator of WP at our church and imagine I have all of the privileges possible. I tried setting text notifications for a helper, and could find no mobile phone icon. Am I missing something?

    Hi Jeff--We just updated worshipplanning so that planners can set text notifications for a helpe this morning. If you try again, you should be able to do this. When you click on a person's name, and then click "edit" , you will see icons next to the phone numbers for this purpose. Following is the announcement regarding this new feature:

    Text Notifications
    worshipplanning.com has offered SMS text notifications for several years (you can learn more about how it works here), but now team leaders and account admins can enable SMS Text messaging on behalf of users.  Before this update, only the end user could enable text notifications by logging into their own WP account.  The was done to reduce the risk of people being unexpectedly charged for text messages.  Now that “unlimited" texts is much more popular, and it is easy for recipients to stop messages, we feel the benefits outweigh the risks.

    User SMS Settings

    When an appropriately-privileged planner adds or edits a user, they will be able to indicate which number(s) support text messaging by using the corresponding checkbox.  Once checked, and the country is selected, a new communication method will be set up for the user without any validation being required.

    Also, any SMS text recipient can stop all text messages from WP by replying “STOP” to any message (and restart the flow of messages by  replying “START” to any message from WP).

    Hi Patrick-

    The messages sent are completely controlled by you. Any assignment notifictions, messages sent through the "Send a Message" feature under People, etc. The setting described above simply sets the persons communication method(s) for all the various communications send through WP.

    Hi Patrick- My previous answer was not completely correct. With text messages you actually can't always control what text goes in those messages.  Assignment notifications and reminders use pre-defined text.  General messages to people (like using the "Send a Message" include the first dozen or so words of the message, but then asks the user to check their email for the full message. I hope this helps!
